Using the Quick Customer search and Cash Customer Create Tool.

Merchanter has an optional Find/Create mode for Sales Orders and Sales Orders from the Basket, which is useful for businesses who have frequent new customers who's details they wish to setup easily as a new cash customer record.

Find/Create Customer - Quick Search

The first screen if has been set for a Quote/Sales Order/Basket Retail Sale will be the Find/Create Customer for Sales Order search.

This is used to either lookup an existing customer or add details and setup a new customer if they do not already have a customer record.

We can now quickly search for customers based on Name, Phone number, Email address, Postcode or mobile number. 

Once you find the customer, you can select them.

If the customer has a contact, they will appear in a list under the customer, you can either click on customer and hit ‘Select Customer’ or select the contact and hit ‘Select Customer & Contact’ (or double click on either), the system then selects both and adds the information to the sales order.

When your search terms get to a single customer result they become the default selection for the ‘Select’ button bottom right of the page and show the customer's name.

  • Cancel button will close the screen without making a selection
  • Skip button will progress to the main order entry screen without selecting a customer
  • Advanced Search button takes you the more advanced search with even more filters. 

Quick Create Cash Customer

If the customer you are searching for is not found, click the ‘Create’ button to start the new customer creation process.

Any information entered during the search will be pre-filled in the new customer form.

All required fields (e.g., company name, address, phone) will be highlighted in Red if they are not filled in.  Which fields are mandatory are set in your system settings.

Once the required fields are completed, click ‘Create new customer’ to finalise the new customer record.


Alternatively, if you want to complete a more detailed customer setup, click the ‘Full Customer Setup’ button to open the customer setup wizard.

After creating or selecting a customer, their information will be applied to the sales order automatically. 

 

Fast create for cash customers only, not credit accounts

The fast customer create sets up a cash only customer record for the new customer.  This cash customer can be converted to a credit account at a later date.  If the customer is getting a credit account this should be setup from the New Customer jobs before the first order is entered for them.
