How To Import Product Stock Locations
Overview
This feature enables the bulk import of hierarchical stock locations into Merchanter using an Excel spreadsheet. Locations can be created recursively based on a code path structure, with optional friendly names.
Prerequisites
Before using the location import feature, the following setup is required:
- MX Reflection must be up to date. Ten-25 support can check this for you but it should update automatically.
- The Excel import definition (Location Import 1.0 at time of writing) must be imported into the system.
The stock location import fix will work without any additional configuration.
Importing the locations
Accessing the Location Import Feature
Prime users can access the location import feature via the following navigation path:
Settings → Organisation Settings → Locations
This opens the Locations screen, which displays a table of depot locations and a tab for all locations

You can also create Locations manually from the All Locations Tab. After an import, any location can be edited there as well.
To start an import, click the blue Import from Excel button located in the top-right corner of the screen.
The Import Wizard will load.

Downloading the Template
In section one of the import wizard, click the blue Download button in the top-right corner of the window. The Locations import template will automatically be saved to your Downloads folder in windows.
Import File Format
The import uses an Excel spreadsheet (.xls) with the following column structure:
| Column A | Column B |
|---|---|
| Location Code Path | Location Name (optional) |
Example spreadsheet content:
| Location Code Path | Location Name |
|---|---|
| TIB | Tilbury |
| TIB/SH | Shop |
| TIB/WA | Warehouse A |
| TIB/WB | Warehouse B |
| TIB/SH/COU | Counter |
| TIB/SH/PB01 | Promo Bin 01 |
| TIB/WA/B01 | Bay 01 |
| TIB/WA/B02 | Bay 02 |
| TIB/WB/B01 | Bay 01 |
| TIB/WB/B02 | Bay 02 |
Location Code Path Rules
The Location Code Path must start with an existing Depot code.
Example: TIB/SH/COU means Tilbury Depot / Shop / Counter
- If a depot location is not found for the first element (e.g., "TIB"), the import will flag an error and the user must correct the spreadsheet.
Otherwise, the system will generate locations recursively. For a path like TIB / SH / COU, the following locations would be created:- TIB/SH
TIB/SH/COU
- TIB/SH
- Location codes can be no longer than 4 characters
Location Naming
Column B (Location Name) is optional.
- If a name is provided: The system uses the supplied name (e.g., "Forest Gate" for code "FG", "Warehouse A" for code "FG/A").
- If left blank: The system uses the final segment of the code path as the name (e.g., code "FG/A" would receive name "A", code "FG/A/B/1" would receive name "1").
Uploading your data
Once you have filled in all of your locations and Names in the Xls Template.

Make sure you know the location where the file is saved and make sure the file is not open in Excel.
Then in section two of the import wizard you have an option to force all codes to uppercase.
and a browse button to to find your template file for upload.

Once the upload file has been selected click the Read Import File button and the data will be validated

If there are no Errors click the Import button to begin. Once its complete you will receive an information Pop up to let you know the status of the import.

you should now see your locations in Stock → Stock Locations and codes and are ready for you to add products to.
If you need help adding products to the locations please take a look at this guide - How to manage stock locations
Validation Errors
If you receive validation errors then you will need to cancel the import and fix the problems in your spreadsheet before trying the upload again.
The Validation Results screen can can help you identify the problem.

Common Errors
In this example we are trying to upload locations to a depot that does not exist.

and in this example we are trying to create a 6 charecter location when the system only allows for 4.

You're all set. If you run into validation errors, double-check your depot codes and character limits, fix the spreadsheet, and re-upload. For any issues that persist, contact Ten-25 support.
