Changing the Customer Activity Threshold Time Period Setting for Your KPIs

In Merchanter, the system is set to recognise when a customer last traded with you.  When they last traded with you sets their classification.  By default these are:

  • Active - A customer who has traded with you within the last 30 days
  • Inactive - If a customer has not traded for more than 30 days but has in the last six months
  • Dormant - A customer who has not traded for the last six months 

These default thresholds affect several KPIs on the system and can be adjusted to better suit your business needs.

To change the default customer activity and dormant thresholds, you need to be logged into the system with a user account that has the Prime role. Once logged in, from the menu navigate to 
Settings > Organisation Settings > Financial Ledger Settings. 

From here, choose the relevant ledger and edit it.

Go to the Ledger Options tab. Click on the Customers tab to access the threshold settings.

In this section, you can adjust the Customer active threshold and Customer dormant threshold by entering new values for the number of days or months, respectively. For example, if you want to extend the active customer threshold to 60 days and the dormant threshold to 12 months, simply type these values into the appropriate fields. 
It’s important to note that these thresholds do not only apply to customers—they also affect the active and dormant ranges for suppliers and products.
Once you’ve made your changes, click Save to update the thresholds. 
However, please be aware that a successful overnight process must run before the KPIs will reflect the updated thresholds. This means that while the changes are saved immediately, the KPIs will not update until the next day. For example, if you double the thresholds, the KPIs will initially appear unchanged but will be corrected after the overnight process completes.

This process allows you to tailor the customer activity thresholds to better align with your business operations, ensuring that your KPIs provide accurate and relevant insights.
