How to Setup Quick Customer Search and Creation

In Merchanter, efficiency is key, especially for your sales team when every second counts during the process of raising orders and adding new customer records. To streamline this, you can activate the Pre-Order Customer Search and Quick Cash Customer Creation features, allowing your team to swiftly locate or create cash customer records without disrupting their workflow.
This guide will walk you through the steps to enable these features and demonstrate how to use them effectively to save valuable time during the sales process.

How to Enable Quick Customer Search and Creation in Merchanter
The following can only be done by an admin user. Please make sure you have the correct security privileges before continuing.
From the main menu, go to Settings.
Next on the menu on the left click on Sales Order Settings and select Quick Customer Configuration from the list.
A new popup window will open, in the Quick Customer Configuration screen, you can choose where the quick customer pop-up will activate.
You have the option to enable the pop-up for new sales orders, new quotes, basket sales, or a combination.
Use the tick boxes to control where the pop-up is active.
For this guide, we'll enable the quick customer search and creation for new sales orders and new quotes only, leaving it disabled for basket sales.
Next, we can set several required or mandatory fields for the customer's quick creation.
You can select which fields will be mandatory when creating a new customer through the quick search and creation tool by ticking the required boxes.
In this guide, we'll set the following fields as required:
- Company Name
- Phone
- Address Line 1
- Postcode
Next, we need to set a Cash Prototype for each of the depots.
A prototype acts as a template for customer setup, pre-filling the most common details required.
This helps streamline the customer creation process by automatically populating standard information when a new customer is added through the tool.
You need to assign a prototype to each of your depots for the quick customer creation to work.
The prototypes are set up elsewhere in Merchanter. The default can be used for speed but we recommend you look at and tailor your own prototypes to help speed up customer creation.
Once all settings have been configured, click Save to apply the changes.
