Setting up and Scanning Barcodes in Sales Orders.
Barcodes offer a fast and reliable way to manage products when creating sales orders or searching your system. By scanning barcodes, you can reduce errors, save time, and improve efficiency across counter sales and order processing.
Adding a Barcode Scanner
To begin using barcode scanning, you will need a compatible barcode scanner. We recommend the Honeywell Voyager series USB scanners for their reliability and ease of use.
Most scanners are plug-and-play, requiring only a USB connection before they are ready for use. If you wish to adjust the settings of the Honeywell scanners, you can download the MetroSet 2 software from the Honeywell website. This will allow the configuration of options such as modifying character delays or disabling auto carriage returns.
Barcodes on Products
Before scanning, you will also need to ensure your products are properly set up in Merchanter.
Each product record includes two barcode fields, Barcode and EAN, where the numeric barcode should be entered. This step is essential for the system to recognise scanned items correctly. Once saved, you can use the Smart Search function at the top of the screen to quickly locate products by scanning their barcodes.
Scanning to add products in the Basket
When processing counter sales, click into the product search field and scan each item. The system will automatically add the products to the basket, with each scan increasing the quantity by one.

Scanning in the Quick Search
For sales orders, the quick search function may be too slow for barcode scanning, potentially selecting incorrect items. this can be resolved by increasing the delay in the Metro Set 2 software.
Scanning using the Barcode Scan button
By using the dedicated barcode button within the sales order screen to scan items individually. The scan box will stay open ready for you to scan the next line after quantity entry, you can press the escape key or click close the window once all products are added.
For those considering alternative scanning methods, mobile apps connected via Bluetooth are available but not officially supported. If this option is of interest, consult your IT team for guidance.
Should any issues arise, such as barcodes not scanning correctly, verify the scanner’s configuration and ensure the barcode is accurately entered in the product record. With these steps in place, barcode scanning can become an efficient and error-free part of your daily operations.
