How to Progress Through Advanced Dispatch Statuses

Managing and updating dispatched order statuses is a crucial part of ensuring smooth operations and accurate tracking in your workflow. This guide will walk you through the process of progressing through advanced order statuses, whether you’re working with individual orders or handling multiple orders in bulk. You’ll learn how to update statuses directly from an order view, use the action button for quick changes, and even progress multiple orders simultaneously.
Please note: the Advanced Dispatch statuses may need to be turned on in your ledger settings.

By using these methods, you can ensure that orders progress smoothly through the dispatch process, keeping your operations running efficiently and accurately. Whether you’re updating individual orders or handling multiple orders in bulk, these steps will help you stay on top of your dispatch workflow.

Progressing Statuses from Within an Order

To begin, you can progress an order’s status directly from within the order itself.
Start by locating an order that has been picked and is ready for dispatch.
Open the order to view its details, and you’ll see a suite of buttons corresponding to the sales orders status.

To move the order through the advance delivery status, you can just click the corresponding button, for example if the order is ready to be loaded onto a vehicle, click the Loaded button.

This will then update the status of the order to On Vehicle.

As the order moves through the dispatch process, you can continue to update its status to In Transit and finally to Delivered. Once marked as delivered, you can confirm the order as supplied, completing the process. You do not need to follow through each of the despatch statuses, you could just jump straight to deliver if required.

If you return to the Picked Orders View and you will notice the status will be updated in the list as well.

If you prefer not to open each order individually, you can also change the status of an order from the Live Picked Orders list, without having to open and view it.

Navigate to the Sales section, select Live Orders, and then choose Picked Orders to see a list of orders ready for dispatch.
Find the order you want to update and click the Action button to the right.

Find the order and click the Action button to the right, then select the relevant status for your order from the list to make the change.

The status will update immediately, reflecting the new stage in the dispatch process.

Bulk Progressing Multiple Orders

For even greater efficiency, you can progress multiple orders at once.
From the Live Picked Orders view select multiple orders from the list by clicking on them.

Once selected, click the relevant status button at the top of the screen.

For example, you could select 2 orders and then click the Mark as In Transit (Selection) button.
This will update all selected orders to the chosen status simultaneously, saving you time and effort. Additionally, if document scenarios are set up, actions like printing dispatch notes can automatically trigger based on the updated statuses, further streamlining your workflow.

Setting up Document triggers is covered in How to Set Up an Advanced Dispatch Status Document Scenario.
